Terms & Client Policies

Official standards governing Privacy (POPIA / GDPR), Digital Delivery of E-Books, and the AAEP Lameness Scale Refund Policy.

1. Privacy Policy

Janice Equine-Vet-Physio ("EquiBodyworks & Rehabilitation") respects your privacy and is committed to managing personal and clinical data in compliance with the South African Protection of Personal Information Act (POPIA) and international standards.

1.1 Information Collected

  • Contact Information: Full name, telephone number, WhatsApp contact, and email address.
  • Financial Transactions: Processed securely via PCI-DSS certified gateway PayFast (Instant EFT, Visa, Mastercard, SnapScan). No payment card numbers are stored directly on our servers.
  • Equine Clinical Records: Horse registered name, age, breed, gender, equestrian discipline, veterinary history, treatment notes, and diagnostic imaging/X-rays submitted for consultation.

1.2 Purpose of Processing

Your data is collected exclusively to formulate bespoke equine exercise physiology programs, conduct hands-on physical therapy, coordinate with your attending veterinarian, and deliver purchased digital manuals.

1.3 Data Retention & Security

Equine medical and consultation records are securely retained for a minimum period of five (5) years to ensure longitudinal care across your horse’s athletic career. All transmission is encrypted using TLS 1.3 standards.

1.4 POPIA Data Subject Rights & Information Officer

In full accordance with South Africa's Protection of Personal Information Act (Act 4 of 2013), you retain the right to request access to your personal data, request rectification of any inaccurate information, or request deletion of non-statutory records. To submit a request, contact our Information Officer (Janice Little) at janicesue.little@gmail.com or +27 76 697 8063.

2. Digital Delivery Policy

All manuals, exercise program guides, and educational e-books are electronic products delivered digitally.

2.1 Delivery Method & Instant Access

Immediately upon transaction confirmation, you will receive on-screen access to download your high-resolution PDF file, accompanied by a permanent backup link delivered to your designated email address.

2.2 Download Failover Support

In the rare event of technical delivery disruption or network failure, manual delivery is initiated via email within 24 hours of notification to janicesue.little@gmail.com.

3. Refund & AAEP Lameness Scale Criteria

Because digital downloads and personalized distance plans involve immediate proprietary distribution, all digital products are non-refundable once accessed.

3.1 Hands-On Clinical Service Refunds

Refunds for pre-booked on-site physiotherapy sessions are honored exclusively under the following verified conditions:

  • Practitioner Emergency / Illness: If our therapist is incapacitated and the session cannot be rescheduled within a reasonable window.
  • Demonstrable Lameness Escalation: If the horse’s clinical condition deteriorates such that it moves upward on the A.A.E.P. (American Association of Equine Practitioners) Lameness Scale, rendering hands-on mobilization contraindicated. A written diagnosis from a licensed veterinarian is required.

3.2 Submission Window

Formal refund requests must be submitted in writing with veterinary documentation to janicesue.little@gmail.com within seven (7) days of the scheduled session.
